Pay: This is an unpaid volunteer position except for lunch expenses of up to £4 per day plus travel expenses to and from Cleeve Court, Leatherhead of up to £10 a day

Duration: January-March 2018 (3 months)

Hours: Flexible, 2-3 days per week. Some evening work will also be required, in addition to office hours

Special Events Intern

In spring 2018, Rainbow Trust is putting on two spectacular special events at the Savoy in London.

Trust in Fashion is a lunchtime fashion show. Guests enjoy a glass of champagne whilst shopping in the Rainbow Trust Boutique, followed by a classic Savoy luncheon, during which there is a designer catwalk show and a silent auction.

Corks and Couture is an evening event with a champagne reception an exclusive opportunity to taste a selection of exceptional wines, dinner and a designer fashion show.

We are looking for an intern to support the Special Events Team to organise these events. This is a great opportunity to learn more about how a special event is put together, supporting the planning and logistics, helping manage the events on the day, and tying them all up afterwards. In addition to this, there will be the opportunity to support/attend other sports or community events, and help with planning for future events.

During this three month period, the Special Events team will also be working on a number of other events. You will have the opportunity to see how these events are produced and marketed to key audiences.

Overall responsibilities:

- Administratively supporting the work of the Rainbow Trust Special Events Team in organising and promoting these events, and various others

- Assisting with the management and care of individual supporters and prize donors

- Managing individual projects as and when required

Activities and responsibilities:

- Communicating internally with colleagues and externally with supporters

- Ensuring all fundraiser information is accurate and up to date on the database

- Providing important ‘on the day’ support at events, representing Rainbow Trust to the public

Your days could involve;

- Event planning

• Researching prize information, creating prize documents

• Promoting the events to support ticket sales

• Adding supporter information to the database and checking the accuracy of existing records

• Sending out tickets

• Responding to enquiries about the events

- Representing Rainbow Trust at events

• Assisting with the set-up of an event

• Meeting supporters, being the friendly face of Rainbow Trust

• Supporting live fundraising activities (auction, pledge, raffle)

• Any other assistance as required

- General administration

• Writing to and calling supporters and prize donors (current and potential)

• Providing ad-hoc administration support to the other members of the events team

• Filing, printing, mailings and general office administration

You can expect to gain experience in the following areas:

• Working in a busy office environment

• Using various software on the PC, including a database

• Research; looking into prizes and promotions

• Written and verbal communication, both internally and externally, communicating with colleagues at all levels of the organisation

• Event organising

• Project management

• Working in the third sector in a fundraising-driven environment

• Training where necessary/appropriate

Person Specification

Applicants must have the following skills/experience:

• Strong interpersonal skills

• Strong written and verbal communication skills

• Good attention to detail

• Good team player; the ability to work independently and as part of a team

• Competent PC user – including Microsoft Office

• Ability to undertake research as instructed

• Confidence to speak to supporters and potential supporters on the telephone

• Energy and enthusiasm – a ‘can do’ attitude
